ARGOED FARM HOLIDAY COTTAGES BOOKING POLICY & PET POLICY
PLEASE READ THIS CAREFULLY. WHEN YOU MAKE A RESERVATION REQUEST WITH US (WHETHER BY EMAIL, TELEPHONE OR POST), THESE CONDITIONS ARE DEEMED TO HAVE BEEN ACCEPTED BY YOU.

THE CONTRACT for a short-term holiday cottage rental will be between the Owners of Argoed Farm Holiday Cottages, Llanfair (“us” or “we”), the person making the booking (“the party leader”) and all members of the holiday party (referred to as “you” or “your”). The contract will be subject to the following booking conditions and these must be complied with.UK law will govern the Contract. The contract for a rental is not effective until we have processed the deposit. The party leader must be at least 21 years of age at the time of booking and the booking form must list names and ages of each person in the holiday party and state the full postal address of the place at which the party leader lives.
PAYMENT: Bookings are CONFIRMED on receipt of the deposit of 1/3rd of the holiday cost. The deposit must be paid within 7 days of booking being placed. The balance of the rental will be due for payment six weeks (42 days) prior to the start date of the rental (the check-in date) and we reserve the right to cancel a holiday where payment has not been received six weeks before the commencement date. If the booking is made within six weeks of the check-in date full payment of the rental amount will be required at the time of booking. Payment can either be by bank transfer, cheque or card payment, we will send the details to you separately.
GOOD HOUSE KEEPING BOND: A damage deposit of £100.00 is payable on request, refunded at the end of your vacation with breakages, damage or extra cleaning charged at our discretion.
Please be aware that any strong odours, additional cleaning from misuse and not maintaining the property in a correct manner will result in the Good House Keeping Bond not being refunded.

CANCELLATIONS – AT YOUR REQUEST
If you need or wish to cancel your booking you must notify us as soon as possible and also confirm this in writing. This will give us the chance to re-let the accommodation you have booked.
Provided your cancellation is notified to us in writing at least 42 days before your check-in date and does not fall within clause 4 below, you will receive a refund equal to all monies paid for the accommodation booked less a £90 administration fee. Any such refund will be made within 5 working days after the check-out date of the original booking.
If you notify us of your wish or need to cancel less than 42 days before your check-in date you will be liable to pay any outstanding balance (if you have not already paid it). We will try to re-let the accommodation you booked but if we are unable to re-let there will be no refund under any circumstances and you will still be responsible for the full rental price.
If we are able to fully or partially re-let the accommodation you cancel (or are deemed to have cancelled by virtue of you failing to pay the balance on the due date) you may be entitled to the return of part of the monies received from you for your booking (i.e. your deposit and any balancing payment, if any). The amount we refund to you under this clause will depend on the final letting price that we receive for the new booking (which may be less than you have paid or agreed to pay). Any net refund, which will also include a deduction for an administration charge of £90, will be made within 5 working days after the check-out date of the original booking.
CANCELLATIONS – INABILITY TO TRAVEL
The inability of any, some or all of the members of the holiday party to travel to and stay at the holiday cottage for any reason (including but not limited to, illness, the requirement or recommendation to self-isolate or to quarantine, jury duty, incarceration, change in personal or work circumstances, family emergencies and travel delays etc) remains your risk and does not give rise to a right to cancel or to receive a refund. For these reasons we strongly recommend you take out your own travel insurance with cancellation cover appropriate to your own requirements.

If you choose not to purchase your own travel insurance then you accept responsibility for any loss that you may incur due to your cancellation. Please note we are not selling, promoting, endorsing or recommending any particular insurer, insurance agent or insurance product and we do not benefit financially from, or have any commercial relationship with any of the providers listed above.
CANCELATION – CIRCUMSTANCES ON SITE BEYOND THE CONTROL OF THE OWNER (FORCE MAJEURE):
If for any reason we have to cancel your booking in advance due to circumstances beyond our control for example fire, flood, exceptional weather conditions, epidemics, destruction/damage to the property (“force majeure“) you will be refunded the full amount of the booking. If we have to terminate your holiday early for the above reasons you will be refunded part of the booking fee based on the time remaining of the booking. No additional compensation, expenses or costs will be payable.
PERIOD OF HIRE:
Check in Time : 3pm Departure Time: 10am at the latest
Arrival time from 3pm on the check-in date, we will contact you beforehand to confirm and you should leave by 10.00am on the day of departure. Failure to do so will result in you being charged a further day’s rental. You must not use the property except for the purpose of a holiday during the holiday period, and not for any other purpose or longer period. The agreement to stay in the property for the holiday period, does not create the relationship of Landlord and Tenant between the parties. You shall not be entitled to a new tenancy, or to any assured short hold or assured tenancy or any statutory protection under the Housing Act 1988 or other statutory security of tenure now or at the end of the Holiday Period.
NUMBER OF PERSONS USING THE PROPERTY we reserve the right to refuse group bookings or other persons who, in our opinion are unsuitable for the accommodation. The maximum number of people stated in the cottage must not be exceeded. We reserve the right to terminate your holiday forthwith, without compensation, or apply additional charges.
With prior approval, it may be possible for additional guests to visit the site between 10 am and 9 pm. The maximum numbers allowed on each site at any one time may preclude guests from visiting. If this rule continues to be flaunted we will treat your booking as having been cancelled by you and you will not be entitled to any refund.

ARGOED FARM COTTAGE RULES

You agree to look after the cottage and you agree to leave it clean and tidy.

Electrical car charging is not permitted

No personal heaters/ fires are allowed to be used in the house

You are expected to show due consideration for other people, including other guests, local residents and our staff. If you abuse the property or display dangerous or offensive behaviour towards the staff, landowners or any third party, we may refuse to allow you access to the property or ask you to leave before the end of the holiday. If this happens we will treat your booking, as having been cancelled by you. You will be asked to leave the site and you will not be entitled to any refund.

You are in a natural environment and as such you agree to respect all local flora and fauna. Any damage, wilful or negligent, will be taken seriously and may result in you and your party being requested to leave the cottage. In such cases, we will treat your booking as having been cancelled by you. You will be asked to leave the site and you will not be entitled to any refund. As such we ask that all guests of Argoed Farm Holidays respect the grounds and countryside we are located in.

The number of people using the cottage may not exceed the number agreed when booking. With prior approval, it may be possible for additional guests to visit the site between 10 am and 9 pm. The maximum numbers allowed on each site at any one time may preclude guests from visiting.

Alcohol may be consumed on-site but drunken or rowdy behaviour is not acceptable. Please be respectful of other guests, owners and neighbours.

Drug use is prohibited within Argoed Farm Holidays Site, this includes Cottages, Gardens, Campsite etc. Drug use is illegal and will be reported to the police. In such cases, we will treat your booking as having been cancelled by you. You will be asked to leave the site and you will not be entitled to any refund.

Smoking is prohibited within the Cottage facilities. Smoking is a high fire risk and cigarette butts can harm or kill livestock. You are required to be responsible for any fire risk or litter.

We operate a small scale, quiet, relaxed and laid back location which includes campsite & holiday cottages. All electronic music and instruments of any kind are banned with regards to use outside. We like to respect the natural rhythms of our environment. We ask that visitors please respect fellow holiday makers and our local neighbours. There is a LOW NOISE POLICY from 10 pm on site and low lighting only. No outside lights to be kept on all night. We reserve the right to remove any holidaymakers who act inappropriately or do not follow our noise guidelines without refund.

No firework displays or Chinese lanterns are allowed as these pose a risk to wildlife.

Argoed Farm Holidays has provision for recycling so please separate your rubbish and use the bins provided. Having said that, we are an off-grid campsite, where we have limited rubbish collection.. Food waste should be placed in the main general waste bin. Please do not leave food scraps around as they attract wildlife and can cause them harm, not to mention unwanted visitors!

Please inform us during your stay of any accidental damage, so we can identify it as not malicious and replace it for you.

Please inform us of any accidents or incidents that occurred by any member of your group whilst on site, as this needs to be filled in the accident book and all injuries photographed.
LIABILITY: Argoed Farm Holiday Cottages, its employees and representatives shall not be liable to you or your party for loss or damage to property, cars or contents whether inside or outside however arising. You must take all necessary steps to safeguard yourselves and your property.
ELECTRIC CAR CHARGING : Charging of electrical cars is not permitted at the property.
CARE OF THE PROPERTY: You are responsible for the property and are expected to take all reasonable care of its furniture, pictures, fittings and effects, in or on the property. You must leave them in the same state of repair, and in the same clean and tidy condition at the end of the rental period as at the beginning. You must not use the properties for any dangerous, offensive, noxious, noisy, immoral activities or carry on there any act that may be a nuisance or annoyance to the owner or other neighbouring properties. Smoking & drug use is not allowed in any of the properties.
We reserve the right to remove any holidaymakers who act inappropriately or do not care for the property without refund.
DAMAGES & BREAKAGES: In certain circumstances, a damage deposit of £100.00 is payable on request, refunded at the end of your vacation with breakages and damage charged at our discretion.
WIFI: Wi-Fi is provided for the guest’s reasonable use. It is rural broadband and has limitations. The guest agrees to reasonable and lawful usage of this service.
RIGHT OF ENTRY: We shall be allowed the right of entry to the property at all reasonable times for purposes of inspection or to carry out any necessary repairs or maintenance.
DATA PRIVACY STATEMENT: We treat any data collected during the course of making bookings or dealing with enquiries in strict confidence. Your data will never be sold. Please see our separate Cookie Policy and Privacy Policy pages.

If any of the above Terms and Conditions are broken, guests will be reminded of their responsibilities and if necessary, requested to leave the cottage & site without refund.

ARGOED FARM COTTAGES PET POLICY
Although we do allow one pet at our properties, we do so on the understanding the following terms and conditions are met as detailed below.

Pets must be flea treated before entering the property;

Pets are to be kept under control at all times;

Pets must be kept on a lead at all times due to being situated on a working farm;
-
All droppings on the premises – including and particularly in the garden should be disposed of appropriately before departure;

Grooming is important – muddy paws and sandy coats are not welcome indoors;
-
Pets are not permitted in the bedrooms or on the furniture;
-
Pets are not to be left unsupervised on the premises as this can result in damage to the property and distress to the pet;
-
Pets are to be exercised off the premises;
-
All bedding must be provided for pets to sleep on;
-
Crockery belonging to the property is not to be used as water/food containers for pets;
-
Pet hairs must be vacuumed and swept up from the property before departure;
-
Any paw, nose or tongue “prints” to be cleaned from floors, windows, doors etc., before your departure.

No other pets allowed that are not booked to stay at the property
Please also note that although a property may accept a pet, this does not guarantee that the property has an enclosed garden or is totally escape-proof to all pets. Clients must inform of their intention to take pets to properties before arrival, whether or not a pet charge is applicable at that particular property. Any damage to the property made by your pet, or extra cleaning required (pet hair on the furniture, droppings in the garden or in the property etc) following your departure will result in the loss of part or all your Good Housekeeping Deposit. We do expect owners of pets to be responsible and would, therefore, ask everyone for a little consideration as any abuse will inevitably result in pets being banned in the future.
